The Unassigned queue

Pending conversations gather in Unassigned; colleagues' ones under Teammates.

A conversation can be handled by AI or transferred to an authorized team member.

Transfer to a person#

  1. Open the conversation.
  2. Select the take-over or assignment action.
  3. Choose yourself or another available member.
  4. If the next teammate needs customer context, pending tasks, or promises already made, enter that information in Transfer note.
  5. Confirm the new reception state at the top of the conversation. The transfer note appears as a team-only note in the conversation and notifies the receiving teammate.

After a person takes over, AI should not continue replying unless the conversation is explicitly returned to AI.

A note is optional for a normal transfer. If your permissions allow you to force-transfer to an offline or fully loaded teammate, a transfer note and a second confirmation are required.

Pause or resume new conversations#

Open the user menu at the bottom of the left sidebar and turn Accept new conversations off or on.

  • While paused, you remain online, can continue handling conversations you already own, and can still take over a conversation yourself.
  • The system does not automatically assign new conversations to you, and teammates cannot transfer conversations to you while you are paused.
  • After you resume, the system evaluates your online status, conversation capacity, and channel assignment scope before assigning work to you.

Admins and teammates with permission to view members can check whether each person is Accepting or Paused in the Assignment status column of the Team members list. Online and offline status remains separate.

Return to AI#

Confirm that the issue is suitable for automation, the channel is enabled for AI reception, and no human promise is still pending.

Troubleshooting#

If a member cannot be selected, check the reason shown in the list. Not accepting new conversations means the member paused new work. Restricted by admin policy is an administrative restriction. Draining means existing conversations are being migrated during account deactivation. Force transfer can bypass only offline or capacity checks, not these restrictions.

If ownership keeps changing, refresh and inspect the system transfer records in the conversation. If you see “Transfer succeeded, but the note could not be sent,” the transfer is already complete; add a team-only note and mention the receiving teammate again.
