12 Review Response Templates

A review response is public writing with three readers: the reviewer, every future buyer who scrolls past, and the platform's algorithm. The 12 templates below cover product, shipping and service complaints plus the trickiest edge cases. Copy one and replace the {placeholders} before posting.

The three-reader principle

A private apology has to convince one person; a public response does three jobs at once. For the reviewer: acknowledge the specific problem and offer a remedy. For future buyers: show how this store behaves when something goes wrong — this is what converts, because most readers are them. For the platform: keep the wording professional and the engagement genuine. Before posting, remember: hundreds of strangers will still be reading this response six months from now.

The five-part structure (for negative reviews)

  • Thank + name. Thank them and use their name — proof it's not a bot blast.
  • Specific acknowledgment. Restate the problem's details; citing specifics proves you actually read it.
  • Factual context (if needed). Gently add missing context — correct facts, never feelings.
  • Action taken. Write what you did, not what you'll "look into" — the remedy is an ad addressed to future buyers.
  • Take it offline. Leave a concrete contact and a named person, and move the back-and-forth out of public view.

Three hard lines

  • Never condition compensation on changing the review. "Refund if you delete it" violates virtually every platform's review policy and risks penalties well beyond one review. Remedy is remedy; what they do with the review is their call.
  • Never paste the same paragraph under every review. Templates are skeletons — swap in real details each time, or the wall of identical "thank you for your feedback" reads worse than silence.
  • Never argue to win in public. Even when the customer is wrong, winning the debate loses every onlooking buyer. One sentence of factual context, then back to solving.

Quality complaint

Thank you for the honest feedback, {name} — I'm sorry the {product} didn't hold up the way it should have. That's not the standard we aim for. We've reached out to you directly to arrange a replacement or refund, whichever you prefer. We're also passing this to our quality team so the same issue doesn't reach anyone else.

Didn't match expectations

Thanks for taking the time to review, {name}. I'm sorry the {product} didn't match what you expected — reading your review, I can see where our product page could have been clearer about {aspect}. We've updated the listing so future buyers see this upfront, and we've messaged you about a return. Feedback like yours genuinely improves the store.

Negative reviews about shipping

Late delivery

You're right, {name} — {X} days is far longer than the {Y} days we promised, and I'm sorry for the wait. We've traced what went wrong with this shipment and {corrective_action}. We've also messaged you a {gesture} as an apology. Thank you for flagging this publicly; it holds us accountable.

Damaged in transit

1-star with no text

Common practice is within 24–48 hours: slower looks indifferent, instant looks automated. For tricky ones, take the extra hours to verify facts first — there's no unsend button in public.

Should you respond to every review?

Every negative one, yes; positives selectively. An unanswered complaint reads as tacit confirmation to future buyers. For positive reviews, prioritize the detailed ones to keep engagement signals healthy. At volume, let AI draft and a human approve.

What about reviews you believe are fake or malicious?
