An apology email owns a mistake, offers a remedy, and says what changes so it won't repeat. The 9 templates below cover the situations ecommerce teams apologize for most — each with a subject line and full body. Copy one and replace the {placeholders} with real details before sending.

The five elements of a good apology

  • Specific acknowledgment. Name exactly what happened in the first paragraph — no "any inconvenience" fog. Customers believe you read their case when you can cite its details.
  • Direct ownership. "This was our error" — not the passive "mistakes were made," and no blaming carriers, systems, or third parties.
  • No excuses. Explaining the cause is fine; explaining it away isn't. One sentence on cause, then move to the remedy.
  • A concrete remedy. Refund, replacement, compensation — with the amount, the deadline, and where it lands, so the customer never has to ask.
  • Prevention. One line on what you changed turns an apology from a gesture into a commitment — and it's the element most often skipped.

One rule for the subject line

Say the thing: "Your order is delayed — here's what we're doing" beats any soft framing. The customer sees accountability before they even open the email, which lifts both open rates and trust. Burying bad news under a vague subject line only multiplies the anger on open.

Subject: Your order {order_id} is delayed — here's what we're doing

Hi {name},

I'm sorry — your order {order_id} hasn't arrived by {promised_date} as it should have. The latest carrier scan shows {status}, and the updated delivery estimate is {new_eta}.
