Many stores do have happy customers. The problem is that happy customers often go quiet after delivery, while unhappy customers are motivated enough to leave a public review, message the brand, or complain on social. Review requests should not depend on an agent remembering to send one, and they should not be a cold link pushed the second tracking says delivered. The better workflow is simple: trigger outreach from delivery status, check the experience first, invite satisfied customers to review, and route unhappy customers to a human before the issue becomes public.

This review request template is built for independent stores, DTC brands and marketplace sellers. The goal is not to pressure every buyer into a five-star rating. The goal is to make real satisfaction visible and catch real problems early.

Set the trigger: do not ask before the customer has opened the box

The weakest timing is the exact moment the carrier marks a package as delivered. The customer may still be at work, the parcel may be with a doorman, or the item may not be unpacked yet. A calmer timing works better:

Once the customer expresses satisfaction, or there is no negative signal after the check-in, send the review invitation. Keep it short. Do not offer cashback. Do not imply that only a five-star review is welcome.

The key phrase is “honest review.” Avoid language like “please give us five stars” or anything that sounds like review manipulation. It may lift short-term conversion, but it weakens trust and may create platform-rule risk.

Catch unhappy customers: intercept bad reviews without silencing them

A bad-review interception path should never mean “please do not leave a bad review.” It should mean “bring the problem here so we can solve it.” If the customer replies with damage, missing items, wrong size, wrong color, logistics trouble or frustration, AI can acknowledge the issue and collect context. Refunds, compensation and price changes still need human approval.

In these conversations, AI is useful because it catches emotion, gathers facts and prepares a conversation summary. It should not automatically promise a refund. Add outreach guardrails: sending less is usually better

Review requests usually fail because frequency gets out of control, not because the wording is imperfect. If the same customer asks about tracking and then receives a request on WhatsApp, email and the website widget, a good experience can turn annoying.

Set at least these guardrails:

  • Trigger only one review invitation per order
  • Do not interrupt while the customer is already in a live conversation
  • Do not ask during refunds, complaints or disputes
  • Respect quiet hours
  • Cap frequency per customer over a short period
  • Stop outreach after the customer enters the do-not-disturb list
